How We Protect Your Information

We take great care to protect and safeguard your personal information through the following practices:
-
Our security measures are structured to deter and prevent hackers and others from accessing information you provide to us. We maintain up-to-date software for implementing and monitoring intrusion prevention and detection systems. Please understand, though, that is not a warranty that the security measures are not fail-proof. Due to the nature of Internet communications and evolving technologies, we cannot guarantee that the information that you provide us will remain free from loss, misuse, or alteration by third parties who, despite our efforts, obtain unauthorized access.
-
We limit the amount of personal information that we collect to strictly necessary, on a need- to- know basis and for the purpose of effectively providing the specific services that you have requested. We adhere to a limited-access process that includes a client’s dated and signed released, specifying the exact information and purpose for release, before allowing data access.
-
We treat all data as confidential. Any information that is collected or stored in our systems is safeguarded with consistent and specific protection measures, such as encryption, password protection, and NIST Clear for deletion processes.
-
We use secure connection technologies when receiving or sending personal information beyond internal networks. Email messages are encrypted at rest and while in transit between data centers. Messages transiting to third-party providers are encrypted with Transport Layer Security when possible or required by configuration.
-
We use security measures designed to protect against the loss of and unauthorized access to data stored by our system. We also inform our affiliates about this policy and the permitted use of data on our system. These individuals are bound by confidentiality obligations.
-
For website security purposes and to ensure that this service remains available to all users, website security is fully managed from threat prevention to real-time detection and rapid response. Data in transit encryption uses HTTPS, TLS 1.2+ and automatic SSL, while data at rest uses AES-256—the strongest encryption standard commercially available. Additionally, these anti-virus programs monitor network traffic to identify unauthorized attempts to upload or change information, or otherwise cause damage.
-
To decrease security risks, we do not provide fillable contact forms, questionnaires/ surveys, nor any type of manual submission of personal information on our website. Additionally, there are no payment methods available, products to buy, nor account log-in /password capabilities on our website.
-
We observe and adhere to physical security measures for all documentation that may contain private client information. All private information that is in hard copy form is locked, secured, and not accessible to any unauthorized individuals. Only documents that are actively being used for the purpose of completing a business task are maintained and are promptly shredded after completion of such tasks. No private information is accessible to unauthorized individuals unless previously requested by the client, in writing, that includes specific disclosure instructions. No photocopies, photographs or scanning of confidential documents is permitted by any personnel without the client’s explicit and advance consent.
-
We adhere to comprehensive security policies and procedures; all privacy safeguard processes are periodically reviewed for effectiveness and are updated as needed.
-
If a client’s personally identifiable information must be shared to third-party individuals (such as contractors, service providers/vendors, or business affiliates) to provide the services that they have requested, we obtain the client’s authorization in advance and require the receiver of information to sign a confidentiality agreement.
-
We utilize data anonymization processes to safeguard private information by removing or encrypting identifiers that link individuals to stored data including pseudonymization, redacting, and data masking.
Data Storage, Retention Periods, and Disposal Processes

We maintain strict processes regarding the storage, retention and disposal of electronic and hard copy data. This process applies to all client data and documents collected and generated in the course of our business operations, including but not limited to:

To maintain the security of confidential information during data storage, we implement the following methods:
-
All client data that is in hardcopy form is locked, secured, and not accessible to any unauthorized individuals. Only documents that are actively being used for the purposes of providing client services and/or executing business tasks are stored until the completion of these activities.
-
All client electronic data is stored on a non-network hard drive that is not accessible to unauthorized individuals.
-
Access control mechanisms such as personalized access controls (like biometric verification and digital passcodes) are utilized to ensure that only authorized users can access specific digital areas.
-
Data storage encryption measures are implemented using robust algorithms (such as the Advanced Encryption Standard, AES).
-
All encryption keys are maintained separate and secure and are updated regularly.
